Understanding transactions
The Transactions tab in your Employer Dashboard provides real-time insights into transactions made by your employees within the current billing period. These transactions won’t be billed yet, but will be included in the invoice at the end of the billing cycle.
Transaction status
Each transaction within the Transactions tab is marked with a status to indicate where it is in the processing cycle so you can keep track of purchases that have been finalized and those that need attention.
- Completed: The transaction has finished processing and is ready for billing.
- Processing: The transaction is still in progress and may take some time to finalize.
- Requires member payment: This status appears when a purchase isn’t covered by the plan, which can happen if the item is outside the covered benefits or if the transaction is missing documentation.
Substantiation filter
Use the Substantiation status filter to find transactions that need additional information to confirm their eligibility under the rules of the plan, including:
- Documentation required: Employees must submit additional documentation like a receipt
- Member payment required: If a transaction has exceeded the 30-day substantiation policy period without the required documentation, the employee is responsible for the payment within 15 day
This filter helps you manage compliance with substantiation requirements and follow up on outstanding transactions that require additional documentation.
Terminations filter
The Terminations filter allows you to view transactions made by employees before their termination date and ensure all applicable purchases are accounted for up to their termination date. Use it to review transactions within a defined termination period.
Non-qualified spend filter
The Non-qualified spend filter is designed to help you identify transactions that don’t qualify for coverage under the employees’ plans, including:
- Ineligible purchases: Items or services that fall outside the coverage scope.
- Unsubstantiated transactions: Transactions that weren’t substantiated within the required timeframe outlined by the substantiation policy.
Monitoring non-qualified spend is crucial for identifying purchases that may not meet coverage criteria, allowing you to take action or follow up as needed.
